The Cash Room Accountant & Supervisor handles all aspects of the cash room ensuring that it is adequately staffed to serve all points of sale during main building operating hours and that cash and equivalent assets of the Aquarium are adequately safeguarded and accounted for. This individual will supervise daily activities, provide training and direction, establishing clear expectations and deadlines, monitoring the control environment, reacting to changing service requirements of the organization, and handle various monthly accounting items.

ESSENTIAL FUNCTIONS

  1. Managers all aspects of the cash room. (staff schedule, banks are ready for distribution to various point of sales and banks are returned daily, security practices and policies of cash room, ensures armored car pickup is timely).
  2. Supervise, manage and delegate the daily duties of cash room staff to ensure the highest standard of work, promote efficiency in the department, and provide cross training in all activities.
  3. Ensure open lines of communication and provide communication in a timely fashion. Conduct annual performance appraisals, provide on-going performance feedback including recognition and addressing performance issues.
  4. As a member of the Finance leadership team, continually monitors cash room controls and procedures and recommends process and system improvements.
  5. Overseas all charge back activity on a daily basis with assistance from cash room staff.
  6. Oversees reconciliation/settlement of deposits to sales reports and prepares and issues variance reports to Point of Sale managers daily.
  7. Ensures all credit card sales reconciled daily.
  8. Monitors accounting controls over cash and cash related items (gift certificates, discount coupons and free admission passes), including physical security and accountability. Ensures that access is restricted to authorized personnel only.
  9. Handles Development daily reports and prepares month end journal entry for Development Activity.
  10. On a monthly basis process all credit card allocation statements for Senior Staff.
  11. Prepares monthly journal entry for Gift Shop activity and invoice Gift Shop for Uniforms and any other items.
  12. Monthly prepares the temp restricted reconciliation and various schedules that go with it. Also prepares release journal entry monthly.
  13. Oversees the invoicing of various events, research, and miscellaneous items.
  14. Manages all monthly investments activity and y/e schedules for audit.
  15. Responsible for all aspects of commercial contracts (invoicing and monthly JV for revenue recognition).
  16. Responsible for maintenance of Fixed Asset Registers including opening and closing capital projects, processing monthly depreciation expense and year-end reconciliation and roll forwarded schedules. Prepares monthly construction and work in process (CIP/WIP) entry to general ledger (MIP). Participates and meeting regarding on-going capital projects.
  17. Prepares various month-end GL reconciliations.
  18. Reconciles payroll bank account monthly.
  19. Performs other position-related duties, as assigned.

QUALIFICATIONS

Minimum Training and Experience

  • Requires a Bachelor degree in business sciences (administration, finance, accounting, etc.) and 3-5 years of related experience.

Knowledge, Skills and Abilities

  • 1-3 years of supervisory experience.
  • Good communication skills strong customer service orientation
  • Well organized, with strong attention to detail and ability to consistently meet multiple concurrent deadlines in a fast paced environment.
  • Solid knowledge of accounting fundamentals, controls and processes.
  • Knowledge of FASB requirements and Generally Accepted Accounting Principles.
  • Experience with bank reconciliations, VLOOKUP, pivot tables, and account analyses. Experience in a non-profit setting preferred
  • Proficient in accounting software Abila MIP, Microix, UltiPro or similar software packages.
  • Strong computer skills (i.e. Microsoft Word, Excel and PowerPoint)
  • Preference for someone with an interest in or understanding of marine or environmental issues.
