The Associate Maintenance Manager manages operations to ensure a safe, clean, and secure environment for staff, visitors, and the animal collection. The manager will coordinate and oversee the activities of outside contractors and ensure their compliance with contract terms. They will also manage cross-departmental activities during renovation and fabrication projects.

New England Aquarium has implemented comprehensive safety protocols for employees and visitors to minimize the risk of COVID-19 exposure. In addition, the Aquarium requires all staff to be vaccinated and boosted (when eligible) against COVID-19 unless a reasonable medical or religious accommodation is requested and approved.

This is a full-time regular position offering a comprehensive benefits package. The schedule will typically be Monday-Friday 8:00am - 4:00pm EST, but hours can vary depending on department needs. Candidates must be flexible to work occasional early mornings, nights, and weekends. The position will require work at both our Boston and Quincy facilities.


  • Oversees daily maintenance of NEAq leased properties. Coordinates with landlords' representatives on major maintenance issues.
  • Assists Maintenance Manager in coordinating and overseeing day-to-day maintenance activities; assigns work orders to tradespeople for corrective, preventative, and emergent work.
  • Assists the Maintenance Manager with direct supervision of tradespeople.
  • Assists the Maintenance Manager in coordinating activities with the Mechanical Systems Operators.
  • Coordinates and oversees activities of outside contractors and ensures their compliance with contract terms.
  • Coordinates cross-departmental activities during renovation and fabrication projects.
  • Schedules, coordinates and supervises work of outside contractors throughout the NEAq and its properties.
  • Acts as head of NEAq security; supervises daily operations of security contractor and all related security issues. Operates and maintains CCTV System in coordination with the IT department.
  • Supervises daily operations of our custodial contractor.
  • Oversees daily operations of Shipping and Receiving.
  • Manages accounts with the NEAq's utility providers, reviews and approves utility invoices, tracks consumption of utilities in the EPA's Portfolio Manager, and reports utility data to the City of Boston for compliance with BERDO ordinance.
  • In collaboration with the Facilities Director, responsible for project budgets; monitors and maintain budgets including tracking of expenses, preparation of budget reports and updates, and coordination with Finance and other Aquarium departments as appropriate.
  • Oversees facilities department tracking of energy consumption and recording the Aquarium carbon consumption.
  • Initiates and coordinates payment of invoices; prepares warrants, purchase orders, and other financial documents, and tracks and prepares expense reports as required for the department.
  • Administers the PM/CM/Inventory program, and provides training in the use of this software to end-users.
  • Acts as the department liaison with the IT department to maintain the department's computers, printers, scanners, and associated software.
  • Manages the Pest Control program; coordinates facility's needs with the contractor.
  • Manages the facility's waste management, recycling service, and hygienic services programs. Coordinates with the contractors and monitors the condition of the requisite equipment.
  • Manages the facility's access control systems: maintains the keying system and coordinates with the locksmith, distributes keys and monitors equipment conditions, and manages preventative and corrective maintenance of the equipment.
  • Supervises departmental interns and volunteer activities.
  • Act as Facilities liaison with function and event managers.
  • Performs other duties as assigned by management.
  • Must be available after hours to respond to emergencies and alarms as part of a duty rotation shared with other Facilities Department management.


Minimum Training and Experience

  • BA or BS degree in Facilities Management or another related discipline.
  • A minimum of 3 years of supervisory experience and experience in the Facilities Management field is required.
  • Expertise in Aquarium maintenance and/or life support equipment is preferred.
  • General understanding of HVAC systems required.

Knowledge, Skills, and Abilities

  • Basic understanding of construction practices and terminology, as well as the ability to interpret for colleagues in other departments.
  • Experience with facilities maintenance database systems.
  • Excellent organizational, written, and verbal communication skills.
  • Demonstrated ability to work independently, as well as interface successfully with various colleagues and contractors.
  • Excellent project management skills
  • Self-motivated and takes initiative to complete complex and time-sensitive projects with a high level of accuracy.
  • Holds or willing to obtain an up-to-date RCRA training certificate for the handling of hazardous waste
  • Working knowledge of property regulations, OSHA safety regulations, and Material Data Safety Sheets.
  • Holds or willing to obtain a Massachusetts Level 2I Waste Water Operator license.
  • Working knowledge of Green business practices.
  • Working knowledge of a facilities maintenance program to support the maintenance manager.
  • Strong and proven communication, diplomacy and organization skills required.
