The Coordinator facilitates HR operational functions and programs and provides support to the Talent Operations and Organizational Effectiveness HR teams. Primary responsibilities include maintaining employee records in the HRIS, processing benefit transactions and auditing invoices, facilitating a variety of Aquarium benefits and serving at the point person for employee inquiries, and supporting the Total Rewards Manager in the design and administration of benefit and compensation programs. In addition, the Coordinator supports a wide variety of Talent and Culture projects and initiatives aimed at continuously improving the employee experience in a way that supports a healthy learning culture and helps the organization achieve its mission with and through its people.


This is a full-time regular position offering a comprehensive benefits package. The schedule will be Monday-Friday 9:00am-4:30pm with the option to work three days remotely each week.


  • Maintain accurate employee information in the HRIS; input payroll and benefit data; work with Finance Department to assist in the processing of payroll; maintain HRIS for optimum efficiency, accuracy and security. Provide HRIS data, reports, and analysis to HR and management as needed.
  • Collect all necessary documentation to support the establishment of the employee record including pre-employment and new hire forms and documents. Process paperwork for new hires and track receipt of immigration validation, signed agreements, and other required information. Create ID badges for new hires.
  • Enter, approve, and audit all employee benefit plan transactions, ensuring additions, terminations, and qualified status event changes are processed correctly and timely manner. Responsible for reconciliation of monthly insurance bills.
  • Prepare benefit exit packages for employees leaving the Aquarium and assist with COBRA notifications and administration.
  • Assist with processing leaves of absence. Obtain required documentation and maintain accurate records related to FMLA/MA PFML/STD.
  • Assist with the administration of Aquarium retirement plans; coordinate quarterly open enrollments, process loans and distribution requests, create Pension benefit estimates, coordinate annual communications to plan participants, assist with annual retirement plan audits, and respond to participant questions.
  • Administer Aquarium specific benefit programs such as tuition reimbursement, FSA, HSA and HRA administration, EAP, flu shot clinic, employee wellness/fitness program(s), employee discount programs, part time vacation and benefit waiver payout programs, and Employee Aquarium Pass Program.
  • Complete various compensation and benefit surveys and verification of employment requests.
  • Maintain HRIS home page graphics and communications and online resources and tools.
  • Plan and administer various employee recognition programs and events. Assist with employee-related activities across the organization.
  • Assist with preparation of annual budget workbooks and narratives for Talent & Culture. Serve as department MICROIX resource and process invoices. Assist with the monitoring and reconciliation of monthly expenses against budget and track/report variance.
  • Provide programmatic support to members of the Talent and Culture team and participate in projects and the implementation of new initiatives.
  • Ensure required employee documents are filed in a timely manner. Audit files and move to off-site storage annually per the Aquarium's document retention guidelines. Maintain documentation of offsite files.
  • Maintain office supplies inventory, and creation of benefits, orientation and training materials.
  • Performs other position-related duties as assigned.


Minimum Training and Experience

  • Bachelor's degree
  • 1-3 years of human resources experience
  • Experience with HRIS (UKG Pro ideally)and benefit administration preferred.

Knowledge, Skills and Abilities

  • Proficiency in Microsoft Office suite and experience with Applicant Tracking Systems and HRIS.
  • Strong working knowledge of applicable Federal and state employment laws and Human Resources best practices related to recordkeeping and HRIS, benefits administration, and compensation.
  • Knowledge of and a commitment to diversity, equity and inclusion concepts and initiatives in the workplace.

  • Proven success in building engaging working relationships through trust, collaboration, and direct communication.

  • A high level of initiative and creativity, as well as intuitive problem-solving skills.
  • Ability to effectively manage projects from beginning to end.
