The HR & Payroll Administrator provides administrative support in the day-to-day operations of the Human Resources Department. Primary responsibilities include maintaining employee records in the HRIS, processing benefit transactions and auditing invoices, administering various Aquarium benefits, and serving as the primary point of contact providing timely and accurate assistance to employees and external parties. In addition, the administrator supports a wide variety of HR projects and initiatives aimed at continuously improving the employee experience in a way that promotes a healthy learning culture and helps the organization achieve its mission with and through its people.
SCHEDULE
This is a full-time regular position offering a comprehensive benefits package. The schedule will be Monday-Friday 9:00 am-4:30 pm with the option to work three days remotely each week.
ESSENTIAL FUNCTIONS
Payroll and HRIS Administration (40%)
- Collect and process all necessary documentation from new hires to establish the employee record. Greet new hires, track receipt of I9 validation, signed agreements, and other required information. Create ID badges.
- Maintain accurate employee information in the HRIS; input payroll and other data; work with Finance Department to assist in the processing of payroll; maintain HRIS for optimum efficiency, accuracy, and security. Provide reports and analysis as needed.
- Complete various compensation and benefits surveys and verification of employment requests.
- Maintain HRIS home page graphics and online internal resources and tools.
- Ensure required employee documents are filed in a timely manner. Audit files and move them to long-term storage annually per the Aquarium's document retention guidelines.
Benefits Administration (40%)
- Enter, approve, and audit all employee benefit plan transactions, ensuring enrollments, de-enrollments, and qualified benefits changes are processed correctly and timely. Reconcile monthly insurance bills and schedule for payment.
- Prepare benefit exit packages for employees leaving the Aquarium and assist with COBRA notifications and administration.
- Assist with the administration of Aquarium retirement plans; coordinate quarterly open enrollments, process loans, and distribution requests, create Pension benefit estimates, coordinate annual communications to plan participants, assist with annual retirement plan audits, and respond to participant questions.
- Administer Aquarium specific benefit programs such as tuition reimbursement, FSA, HSA and HRA administration, EAP, flu shot clinic, and employee wellness/fitness program(s), among others.
- Assist with processing leave of absence requests. Obtain required documentation and maintain accurate records related to FMLA/MA PFML/STD.
General Administration and Team Support (20%)
- Participate in planning and implementing employee events and activities.
- Support larger projects and organizational initiatives.
- Process invoices for the team and assist with the reconciliation of monthly expenses against the budget.
- Maintain office supplies inventory and process mail.
QUALIFICATIONS
Minimum Training and Experience
- 3 years of administrative experience in human resources, payroll, or finance.
- Bachelor's Degree, or equivalent combination of education, training, and experience.
- Experience with HRIS (UKG Pro ideally) or other financial systems. Benefits administration experience is helpful.
Knowledge, Skills, and Abilities
- Capable of prioritizing work duties for maximum efficiency and working independently to maintain service levels.
- Ability to effectively manage projects from beginning to end.
- A commitment to providing a high level of service to all stakeholders.
- Ability to communicate clear and concise information to employees at all levels of the organization in verbal, written, electronic, and other communication formats.
- Proficiency in Microsoft Office suite and experience with finance systems and/or HRIS. A commitment to strict confidentiality.
- Knowledge of and a commitment to diversity, equity, and inclusion concepts and initiatives in the workplace.
- Proven success in building engaging working relationships through trust, collaboration, and direct communication.
- A high level of initiative, creativity, and intuitive problem-solving skills.
