The Internships Coordinator recruits and screens applicants for intern positions, coordinating the placement and on-boarding process, and serving as a resource to active volunteers and interns providing guidance and support.  The Coordinator also assists the Manager in the design and implementation of continuing education programs for volunteers & interns, screening and placement of volunteers, and implementing special programs and events. 

 

SCHEDULE

  • Tuesday -- Saturday, 8:00 AM -- 4:00 PM, with night and weekend hours to assist with special events or programs as needed.

 

ESSENTIAL FUNCTIONS

  1. Program Strategy: Works with Manager, Volunteer Programs & Internships to vet new internship positions and design appropriate job descriptions and recruitment strategies. Develops customized recruitment strategies in response to departmental needs that include proactive and creative outreach utilizing internal and external markets, social media and other recruitment resources. Review and recommend improvements to internship recruiting, on-boarding, communication and professional development practices and processes.

  1. Recruitment: Responsible for posting/communication of intern positions, networking with colleges, and attracting a diverse pool of applicant search cycle. Acts as the primary recruiter at college volunteer and internship fairs, and other relevant events. Maintains a high level of knowledge about departments and jobs at the Aquarium. Identifies appropriate candidates for open intern positions and presents them to the department for consideration.

  1. Application Process: Coordinates the receipt, processing, and prescreening of 700+ internship applications for 150 internships annually including Spring, Summer, Fall, and Winter cycles. Interviews, in-person or via Skype, 30-90 applicants each month. Serves as liaison to candidates, communicating status updates regularly. Responds to a high volume of telephone and email inquiries from potential volunteers and interns in a timely fashion and demonstrating superior customer service. Responsible for managing the internship application process in Applicant Pro (an automated, online system) to increase internal efficiencies including initial transition, troubleshooting and continued maintenance.

  1. On-boarding: Process Conducts orientation for interns and completes the on-boarding process collecting all necessary documentation to support the establishment of the intern record including creating offer letters and hiring contracts, conducting hazardous communications and zoonotics trainings, witnessing the completion and collection of all hiring paperwork, including confidentiality, policy, and safety agreements. Creates and distributes volunteer and intern identification cards and uniforms.

  1. Record-keeping and Reporting: Responsible for creating detailed full picture profiles of every internship participant within Salesforce database including maintaining all internship records including scheduling interns, maintaining service hours, benefits and detailed communications records. Works with Manager to design and implement regular reporting, storytelling, and dashboards to increase transparency of the program and communicate the value of interns to all stakeholders.

  1. Professional Development: Aides in the delivery of professional development opportunities for New England Aquarium interns. Coordinates and facilitates trainings on a regular basis.  

  1. Events and Communication: Aides in the planning and implementing of intern related community building events. Contributes to ongoing communications, newsletters, and social media efforts relating to volunteers & interns.

  1. Performs other position related duties as assigned.

 

QUALIFICATIONS

Minimum Training and Experience

  • Requires a Bachelor's Degree and 2 to 4 years of related professional work experience. 

Knowledge, Skills and Abilities

  • Strong interpersonal skills and experience working with a broad range of people in a customer service related capacity.

  • Experience screening, interviewing, and on boarding. Proven results sourcing and attracting diverse talent.

  • Proven success designing and implementing coursework, lectures, trainings, meetings or programs for audiences over the age of 18.

  • Experience working with teens and adults from diverse racial/socioeconomic populations.

  • Excellent verbal and written communication skills. Experience writing in a business setting preferred.

  • Detail oriented, highly organized with administrative experience in a fast-paced environment.

  • Self-motivated; strong problem-solving skills; ability to work independently as well as on a team.

  • Experience with MS Office, Mail Chimp, Form Assembly, and online databases such as Salesforce and applicant tracking systems preferred.

  • A commitment to and interest in promoting and participating in diversity related efforts.

  • Valid driver's license is preferred for attending recruitment fairs.
