The Development Team at New England Aquarium plays a critical role in funding the important work being done to protect vulnerable marine life and ensure a healthy ocean for generations to come.  As part of the Development Operations team, which supports these efforts, the Data Administrator (DA) collects, analyzes, reports and maintains the integrity of all data related to fundraising efforts.  Typical end users include senior fundraisers, the finance office, the President's office and Aquarium vice presidents.


This is a full time (35 hour), regular position; Monday Friday 9:00 AM 5:00 PM


  • Creates, runs, distributes and troubleshoots a battery of reports pertaining to all aspects of fundraising at the New England Aquarium using Pivot Tables and Crystal Reports.
  • Under the supervision of the MDO he/she will provide support in all areas of operations to the Individual and Institutional Giving teams including gift processing, reconciliation, tax receipting and fulfillment, data pulls/imports and other activities within Raiser's Edge.
  • Sends out emails using Luminate, and provides additional support to donation, event and record management.
  • Manages the invoice/warrant system.
  • Maintains and updates a policy and procedural document outlining key processes.
  • Ensures paper and electronic donor records within the Development Office are maintained and meets PCI compliance when handling sensitive financial and gift information.
  • Manages organizational relationships with third party donation vendors including EarthShare, matching gift companies, Car Program, etc.
  • Supports other special projects and performs other position-related duties, as assigned.



  • Bachelor's degree and three years' of experience in a busy fund-raising (or comparable) office environment.
  • Raiser's Edge, Luminate and Crystal Reports experience strongly preferred.
  • One year of gift processing experience or experience with high-volume data entry.


Knowledge, Skills and Abilities

  • Demonstrated experience in working with a sophisticated relational database.
  • Superior skills in using Pivot tables (Excel) to manipulate complex data sets into meaningful and understandable reports for diverse audiences.
  • Strong skills in typical office applications such as Excel Word and PowerPoint.
  • Excellent communication skills and the confidence to deal with and provide superior customer service to a diverse audience, including senior management, gift officers, board members, and donors.
  • Maturity of judgment and an ability to work independently (but know when to seek guidance) to ensure appropriate accuracy and attention to detail.
  • Understands fully the responsibilities involved in dealing with highly confidential information and the implications if such data is compromised.
  • Motivated and deadline oriented, with a proven track record at delivering results.
